Oilfield business sees immediate boost in time savings with high-performance ERP solution

Founded in 2014, Solution Services has established itself as a mainstay in Canada’s oilfield sector, delivering a comprehensive experience and unique blend of mechanical, specialized fluid, and project management services. But after almost a decade of growth, they needed to update their accounting and reporting systems so they could gain real-time insights to help them make more efficient and informed financial decisions.

The challenge

Since its inception, Solution Services has grown significantly, leading to the development of various new divisions and an increase in the workforce. As the organization grew, their reliance on their existing accounting software — Sage 50 — revealed limitations. With multiple entities to manage, and a need for real-time financial data, improved reporting capabilities, and user-friendly access to insights, finding the right all-in-one solution had become increasingly essential.

That’s where the existing system fell short, offering only basic functionality without sufficient reporting or integration capabilities. Key areas for the business — like job costing and multi-entity consolidation — were cumbersome to manage with their legacy system. This all led to inefficiencies that impacted decision making.

Something had to change.

To address this, Solution Services attempted to incorporate additional programs, but nothing provided the necessary functionality. The goal was to find a solution that met their evolving needs without completely overhauling their current systems.

The approach

Recognizing the need for a more robust solution — one that could grow with the business — Solution Services turned to MNP Digital to explore options. MNP was already a partner, working closely with them on their yearly audits. MNP Digital recommended they explore three different platforms. And as time went on, the urgency and need for a new solution became more and more apparent.

After an in-depth solution selection process, Sage Intacct was chosen for its alignment with the Solution Services’ objectives and its integration capabilities. It would be integrated with third-party partners like FieldCap and ADP.

Collaborating with MNP Digital’s knowledgeable advisors, Solution Services took on an ambitious five-month timeline, seamlessly integrating Sage Intacct with their existing ticketing and expense management systems. This collaboration made the process efficient and intuitive starting on day one. And as the go-live date approached, MNP Digital’s additional guidance in project management, training, and overall support became one of the key pieces for ensuring a successful and sustainable implementation.

The implementation was a collaborative, small-team approach that involved the entire Solution Services finance team from day one until the day the new platform went live. Their team wasn’t afraid to roll up their sleeves to do the work and training required to make the implementation a success. In fact, without the team’s engagement and proactive efforts, achieving the five-month timeline would have been unlikely.   

Despite initial skepticism due to part experiences with other implementations, Solutions Services appreciated that their MNP Digital advisors lived up to their commitment and satisfied all requirements, leading to a positive experience and fostering a trusting partnership.

The results

The impact of Sage Intacct and its integrations on Solution Services has been significant — and almost immediate — leading to notable efficiency gains across the board:

  • Day-to-day operations saw an average 25 percent decrease in time spent on purchase order processing and administrative tasks.
  • Month-end processing time improved, allowing the team to complete financials by the 20th to 25th of each month, significantly ahead of previous timelines.
  • The client was able to maximize their current team’s productivity without needing additional hires, avoiding a projected 25 percent increase in staffing costs.
